The Challenge

At De Overburen, intake interviews are essential to gain a good nderstanding of clients’ personal background, care needs, interests, behaviors, and medical information. These interviews can include up to 30 questions and take several hours. If all questions were to be addressed thoroughly, it could even take days. In practice, that time and staffing capacity are not available. The challenge is to supplement personal conversations by using AI to collect higher quality information in a labor-saving way. The goal is to truly get to know the client well.

Plan of Approach

MemoMate collaborated with De Overburen to:

  • Analyze the existing intake questionnaire and adjust it where needed.
  • Select a small group of clients who were open to testing this new approach.
  • Deploy MemoMate’s AI.

Results

  • Response Rate: Over 60% of the selected clients completed the calls.
  • Average Call Duration: 15 minutes.
  • Outcome: MemoMate processed the answers into a usable resident profile that is used to:
    • Tailor activities based on personal interests.
    • Inform staff about residents’ preferences and life stories.
    • Offer families of the clients a beautiful keepsake.

What’s Next

The clients of De Overburen are mainly people with an intellectual disability. This target group is significantly different from the audience MemoMate usually works with. This pilot showed that AI phone calls are especially suitable for clients with relatively stronger verbal and cognitive skills.

In Q3 2025, we are planning a larger study, focused on a bigger group of residents who are able to engage in a proper phone conversation. This application is especially valuable for caregivers who have limited time to truly build a connection during home visits.
